Executive Assistant

We have an exciting opportunity for a full-time Executive Assistant for our Chief Executive Officer. The Executive Assistant will join Dot818, one of the leading IT companies in Los Angeles! The role's primary responsibilities will be managing the schedule and communication of the CEO.

This will be a fully on-site position out of our headquarters in Glendale, CA. If you are passionate about marketing, AI, and working with a growing organization, then this is the position for you.

What We Can Expect From You:
  • Assists the CEO in the timely management of communications, including written, telephone, email, and voicemail correspondence.
  • Works with the receptionist to manage and organize the CEO’s calendar by scheduling appointments, meetings, engagements, and daily activities, including running errands.
  • Provides administrative assistance, such as composing and editing letters, documents, emails, and proposals, and ensures a follow-up with those that require answers, responses, and written replies.
  • Manages and coordinates travel for both business and personal arrangements.
  • Schedules meetings and conference calls, as well as organizes detailed international and domestic travel, ranging from air and hotel reservations to passport and visa applications.
  • Assists in screening calls, emails, and visitors.
  • Maintains confidential files and honors the integrity of all information.
  • Coordinates on-site meetings, luncheons, coffees, and in-house events.
  • Coordinates the hosting of in-house events.
  • Greets and checks in clients and other guests for meetings and events.
  • Coordinates and manages vendors and contractors for the office.
  • Proficient in Google Suite, MS Word, Excel, Slack, and Outlook.
  • Assists with marketing initiatives.
What We Are Looking For:
  • 2+ years of prior experience providing high-level administrative support at the executive level.
  • Experience and interest in PR and research.
  • Extensive background in travel and calendar management.
